Location: Main office at Arnish Point Industrial Estate

Terms: Full-time

Permanent Salary: Dependent on experience £28,000 - £34,000

 

About us

Hebridean Seaweed are located on the Isle of Lewis in the Outer Hebrides of Scotland. We were founded in 2005 with a vision to create opportunities from the sea and are now the largest seaweed processing facility in the UK. We are headquartered at Arnish Point, just a few minutes from the town of Stornoway at the centre of our harvesting sites. Sustainability has been at the heart of Hebridean Seaweed since its foundation. We care about our environment, our customers, colleagues & the communities we operate in.

 

About the role

We are seeking a highly organised and motivated Office Manager to oversee the day-to-day administrative operations of the company. Based at our factory in Arnish, Stornoway, you will play a key role in ensuring the smooth functioning of the office and supporting the team. This is an exciting opportunity to join a growing company rooted in the Hebridean tradition of sustainable seaweed harvesting.

 

Key Responsibilities:

 

1. Office Administration:

- Manage staff timesheets, including tracking hours, overtime, and leave.

- Maintain accurate records and ensure timely reporting of administrative tasks.

 

2. Procurement and Inventory:

- Order parts and supplies necessary for harvesting operations.

- Monitor stock levels and coordinate with suppliers.

 

3. Customer Service:

- Serve as the first point of contact for customers via phone and email.

- Address inquiries, process orders, and provide excellent customer service.

 

4. Staff Coordination:

- Support staff by handling administrative tasks related to timekeeping and payroll preparation.

 

5. General Support:

- Assist with ad-hoc tasks and projects as required to support the team and management.

- Ensure the office environment remains organised and professional.

 

Candidate requirements

The ideal candidate will have excellent organizational and time-management skills as well as strong communication skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential along with the ability to work independently and handle multiple tasks effectively.
